⏱️ Time Tracking User Guide

Clock In/Out, Timesheets & Time Reports


Overview

The Time Tracking module helps manage labor hours across your projects. Track employee time, review timesheets, and generate reports for payroll and job costing. Access time tracking under Field Ops in the navigation menu.


Clock In/Out

Navigation: Field Ops → Clock In/Out

Clocking In

  1. Navigate to Field Ops → Clock In/Out
  2. Select the project you're working on
  3. Choose a task or phase (optional)
  4. Add any notes for the time entry (e.g., "Foundation work – east wing")
  5. Click "Clock In" — the timer starts
  6. Your active clock-in session is displayed with a running timer

Clocking Out

  1. Return to Field Ops → Clock In/Out
  2. Your active session is shown at the top of the page
  3. Add any closing notes about the work completed
  4. Click "Clock Out" — the time entry is saved
  5. Hours are automatically calculated and recorded

Viewing Your Timesheet

Timesheet Details

Column Description
Date Day the work was performed
Project Associated project name
Task Specific task or phase
Hours Time worked (auto-calculated from clock in/out)
Notes Work description and details
Status Pending, Approved, or Rejected

Submitting Timesheets

  1. Review your weekly timesheet for accuracy
  2. Verify all entries have correct projects and tasks assigned
  3. Add or edit notes as needed
  4. Submit the timesheet for supervisor approval

Time Reports

Navigation: Field Ops → Time Reports

Available Reports

Generating Reports

  1. Navigate to Field Ops → Time Reports
  2. Select the report type from the dropdown
  3. Choose date range (start and end dates)
  4. Filter by project, employee, or department (optional)
  5. Click "Generate Report"
  6. View results on screen or export to CSV/PDF
